Choose the admission process before inviting applications
If your school wants to review every application first, configure the form to match that process. Set the offered licence categories and choose registration with approval. The student enters their details and submits a request; your school accepts or declines it before the remaining steps follow. That makes the admission decision a distinct stage. Agree who will handle requests and which documents you need beforehand. Making a form publicly reachable does not replace either those responsibilities or the setup of your school’s registration process.
Put a personal offer before the remaining registration steps
Some enquiries need a specific agreement about the requested course first. In offer mode, review the application and prepare an offer containing the category, line items and validity period. The student decides whether to accept it before the configured document and completion steps continue. For example, this lets both sides clarify the category and offered scope before moving ahead. The offer workflow needs to be configured appropriately. Check the details and validity before sending; receiving an application alone does not activate a training record.
Understand applications already running when you change the mode
Your school switches from direct registration to prior approval while some students are already applying. Review each existing application according to the process it started with: applications already under way keep their original mode, while new ones follow the current setting. You can then explain why two students see different next steps. Check the document requirements and completion status for each application. If you intend to collect an advance payment during registration, discuss availability and setup separately at closed-beta onboarding; it is not automatically available in every school’s form.
