Which lesson slots actually fit your instructors’ schedules?
Set availability windows for the times instructors can take requests. Lesson duration, buffers, existing appointments and approved absences determine which slots fit; enabled appointment types control what students can request.
An empty calendar gap is not automatically a usable slot
A gap between appointments may look available. Whether a student can request another lesson there also depends on the instructor’s availability window, the appointment duration and its buffers. Review those settings alongside the existing appointments; together they determine the student’s options. For example, a visible gap may be too short for a longer lesson. This requires suitable time windows and realistic appointment-type settings. Slot calculation makes the recorded schedule usable, but it cannot replace missing availability data or correct working times that were entered inaccurately.
Account for approved leave in new and existing plans
An instructor receives approval for leave during a period with lessons already scheduled. Approved absences affect the calculation of new bookable slots. Also open the conflicts shown for existing appointments and agree with the people involved which lessons need changing. That addresses both future options and the schedule already agreed. The absence needs to be recorded and approved for this process. Approval does not move or cancel existing appointments by itself; deciding how to handle those lessons remains a specific task for your scheduling team.
Check booking permissions when a student cannot find a time
A student says there is nothing suitable to request even though the calendar seems to have gaps. First review the instructor’s available period, existing appointments, buffers and absences. Then check whether the requested appointment type is bookable and whether restrictions apply to that student. This ties your response to the actual settings rather than simply adding more time windows. It depends on maintaining appointment types and individual permissions deliberately. Extra availability alone does not make a restricted appointment type available for that student to request.
