Answer training questions from the recorded course progress

A student asks which theory topics they still need, for example. Find them in the student list and open the relevant course and theory area in their file. You can review recorded progress alongside attendance entries, while exams and courses have their own areas. This gives your reply a specific basis in the available record. It depends on keeping lesson and attendance data up to date. The file brings that information together, but it cannot fill missing entries or replace an instructor’s professional assessment of the student.

Turn a missing-document note into a specific follow-up

A note saying “documents missing” does not tell your office what to request. Open the document area and check the requirements for the student’s licence category. If your school has configured a required slot for an eyesight-test certificate, for example, compare the available upload with that requirement. Your follow-up can then identify the actual document needed. This requires a suitable document requirement with a description and category assignment. Staff still need to review the uploaded content; having a file in a slot does not answer every question about it.

Trace an invoice question back to the recorded services

When a student asks what an invoice covers, use the file to distinguish the different steps. Open their invoices and review the details, then check the services area for planned, delivered and invoiced services. A lesson whose delivery was confirmed before billing is one example of this sequence. Your explanation can refer to the recorded work rather than just a calendar date. The delivery and billing steps must actually have been recorded. An appointment on its own does not establish that a service was delivered or charged.

Frequently asked questions

Does a scheduled lesson already count as a delivered service in the file?

No. Scheduling, delivery confirmation and invoicing are separate steps. Review the service status before treating an appointment as completed work or a charge.

What should I use to check for missing documents?

Use your school’s document requirements for the relevant category. Compare the required slots with the files present, then review the content of those files.
