Let parents and representatives sign through a link.
When a representative’s signature is missing, a time-limited link provides access to the intended documents and signing roles. Learners can share and revoke their representative link; signing access does not open their full student record or invoices.
Collect the missing representative signature
A learner has prepared their document, but the required representative signature is still missing. Use the relevant signing link to involve that person in the task. For example, the learner shares their representative link with a parent. The parent opens the intended documents and signs in the permitted role, after which your team checks the document status. This requires the document to call for that signature and the link to belong to the appropriate workflow. Signing access enables a specific document task; it does not make the person a member of school staff.
Withdraw a link when access is no longer appropriate
A learner can revoke their own shared representative link when it should no longer be used. Document-specific signing access is also time-limited. If somebody has trouble opening it, first check whether the link remains valid and whether it matches the required role. This provides deliberately limited access for an external signer rather than a permanently open account. You still need to use the intended route for that document. A signing link does not authorise general changes to a training record or give the signer access to invoice management.
Assign signing and billing responsibilities separately
A parent may sign a document, while a billing contact may receive an invoice. These are separate responsibilities. Set up external signing access for the signature and select the relevant billing contact separately when drafting the invoice. Each workflow then shows why the person is involved. During Closed Beta onboarding, you discuss how these handovers fit your school. Correct assignment is needed in both cases. A representative’s signature does not establish general access to invoices or other parts of the student record, even if the same person is also a billing contact.

Is a billing contact automatically set up as a signer?
Treat the responsibilities separately. Select the invoice recipient in the invoicing workflow; an external signature needs the signing access intended for that document and role.
What should I check if a shared signing link stops working?
Check whether it is still valid and whether access has been revoked. Also confirm that the link belongs to the required document workflow and signing role before preparing access again.
